The challenge

Managing 50+ overlapping convention calendars across the United States, with hundreds of traveling crew members and shared rental assets, pushed the client's paper-based systems past their limits.

Every show produced a stack of hand-written Daily Time Tickets covering Straight Time (ST), Overtime (OT), and Double Time (DT), each rate tier governed by strict union and venue rules. Re-entering those tickets into invoices took 2–3 weeks per show and introduced errors that led to billing disputes on nearly 1 in 5 invoices. At the same time, modular booth hardware, truss systems, monitors, and hanging signs were scheduled manually, creating double-booking risks during peak convention season. Crew travel (flights, hotels, Vrbo rentals, rental cars, and daily per-diem) was booked outside any system, so real-time show cost tracking was impossible. Missing Certificates of Insurance (COI) and unsigned Material Handling Agreements (MHA) caused further invoice delays and cash collection bottlenecks.

Booth specs (dimensions, flooring, hanging signs, monitor sizes, warehouse delivery status) and electrical readiness are tracked per job, so account managers and field crews see the same live status.

Field timesheets and automated daily time tickets

Field supervisors log crew hours directly on smartphones and tablets on the show floor. The system automatically calculates ST, OT, and DT based on shift hours and venue-specific rules. One click generates a Daily Time Ticket (DTT) with a digital signature line where the client signs on-glass, archiving the approved DTT instantly. No paper. No lost slips. No re-entry.

Digital quality checklists

Structured check-in and check-out forms cover wood crates, skids, fiber cases, flooring condition, and courier shipments. Dual digital signatures from the Lead Technician and City Manager are captured before handover to the exhibitor, creating an audit trail that replaces paper inspection reports.

Travel and accommodation logistics

A centralized travel module handles requests and manager approvals for flights, hotels, Vrbo rentals, rental cars, and daily per-diem, all tied directly to the show's analytic account so real-time show cost is always current.

Finance and cloud integrations

Approved invoices and expenses sync automatically to QuickBooks Online with no double entry or batch uploads. Booth blueprints, graphic proofs, signed DTTs, and COIs are filed automatically into structured Microsoft SharePoint directories, accessible from any device.

A story from the show floor
