The challenge
Running four flagship properties and fourteen dining venues across Thailand's most visited coastal destinations meant coordinating hundreds of daily guest touchpoints across the front desk, restaurants, spas, and beach clubs on disconnected systems. Dining, spa, and recreation charges could take hours to reach the front desk PMS, and guests checking out often disputed minibar or restaurant charges they didn't recognize because the numbers simply hadn't caught up yet.
Kitchen inventory ran on spreadsheets with no link to what the POS was actually selling, so spoilage and ingredient leakage were hard to control and procurement was more guesswork than forecast. Housekeeping and maintenance relied on paper logs and radios. Room status updates lagged, and peak season check-in queues backed up while the front desk waited on delayed room-ready confirmations. And consolidating revenue, shared staff costs, and tax reporting across four properties took the finance team more than ten days of manual reconciliation every month.
Why Odoo and Why GritXi?
The client needed hotel PMS, restaurant POS with kitchen routing, housekeeping, and multi-property finance in one connected system, a unified scope that standard hospitality bundles rarely cover without disconnected add-ons.
They chose Odoo because its Point of Sale, Inventory, and Accounting modules could be extended into a genuine hospitality suite, with every property's guest folio, recipe costing, and financials living in one database. They chose GritXi because GritXi had already built the specific pieces a resort group needs (including room charge posting from any POS terminal, recipe-level inventory deduction, and multi-property consolidated reporting) rather than adapting a generic retail POS to hotel use.
The approach
GritXi built a connected hospitality platform spanning the front desk, kitchen, housekeeping, and finance across all four properties:
Unified guest folio and centralized front desk
Every POS terminal across restaurants, bars, beach clubs, and spas posts orders straight to the guest's central room folio in real time, with digital signature verification. A bi-directional channel manager sync keeps room availability and rate plans updated instantly across OTAs and the resort's own booking engine, eliminating double bookings.
Restaurant POS and kitchen display systems
Graphical table layouts handle seating timers, split billing, and course firing, with waiters ordering directly from handhelds. Orders route straight to station-specific kitchen display screens (appetizers, grill, pastry), cutting preparation time significantly across all fourteen outlets.
Recipe costing and central commissary
Every menu item is linked to a precise ingredient bill of materials that automatically debits inventory the moment an order is fulfilled. Central commissary stock replenishes individual property kitchens and bar storerooms automatically, based on forecasted occupancy rather than guesswork.
Digital housekeeping and maintenance
Housekeeping staff update room readiness (clean, checked, deep clean) directly on mobile tablets, and the front desk sees it the moment it happens. Equipment defects logged by any staff member instantly create a maintenance work order with technician dispatch and spare parts tracking.
Implementation timeline

A story from a high-season Saturday
On a peak Saturday during high season, all four properties were near full occupancy with back-to-back check-ins and a beachfront wedding banquet running at one resort. Under the old system, this was the kind of day when front desk queues stretched into the lobby, waiting on housekeeping to radio through which rooms were actually ready.
After go-live, the front desk could see live room status the instant housekeeping tapped "clean" on a tablet without needing radio calls. The banquet's F&B charges posted straight to guest folios in real time instead of arriving as an end-of-stay surprise, and the kitchen's recipe-linked inventory meant the commissary had already replenished stock based on the week's forecasted occupancy. Check-in that would once have taken over seven minutes per guest cleared in under two, even on the property's busiest day of the season.
